How to write a two weeks notice letter
Decide the date you will hand in your notice first. Everything else follows from it.
- Count two weeks
From the day you hand in the letter, count two weeks to find your last working day, and check whether your employer counts working days or calendar days.
- Fill in your role
Type your job title, employer and manager's name over the sample text.
- Write the handover line
One sentence on what you will do in the two weeks: document open work, train a colleague, finish a project.
- Add a thank you
Name one thing you valued. It is optional, but it keeps the door open for references later.
- Choose the tone
Formal suits most workplaces, friendly suits a close manager, and concise keeps only the facts.
- Send it the right way
Talk to your manager first if you can, then send the letter or email the same day and keep a copy.
Is two weeks notice required?
In the United States, two weeks is a custom more than a law. SHRM explains that "Most states follow the employment-at-will doctrine", meaning "either the business or the worker can terminate the employment relationship at any time", while "an employer can request advance notice of an employee's intention to resign" and "Two weeks is the standard notice period." So a contract, an offer letter or a company policy may still ask for two weeks or more. Check those documents before you decide your date.
Outside the US, notice rules are often set by law or contract and may be longer. In the UK, for example, Acas says employees with at least one month of service "must give a minimum of 1 weeks' notice", and contracts often require more. If your contract asks for a longer period, use the resignation letter tool, which lets you write any notice period.
Two weeks notice letter format
A two weeks notice letter is short. The formal template has five parts:
- Your name and contact details, then the date.
- Your manager's name and the company.
- One sentence that says this is your two weeks' notice, from which position, and the exact last working day.
- One sentence on the handover.
- A short thank you and your name.
Always write the actual date rather than "two weeks from today". A date leaves no room for different interpretations, and HR will use it to process your final pay.
Sending your two weeks notice by email
Many people resign by email, especially when they work remotely. Copy the letter text into the email body and use the subject line shown under the preview, such as "Two Weeks' Notice - Jordan Lee". Send it to your direct manager and copy HR if that is the practice where you work. If your employer requires a signed letter, download the PDF, print it, sign it and hand it in, or attach a signed scan.
Expect a reply that confirms your last day and explains the next steps, such as returning equipment and final pay. If no confirmation arrives, ask for one in writing.
Making the most of your last two weeks
- Write things down. A short handover document with open tasks, contacts, logins to transfer and recurring deadlines is the most useful thing you can leave behind.
- Ask for a reference while it is fresh. Your manager will remember your work best now. The reference letter tool lets you hand them a draft.
- Stay professional. Your notice letter goes into your file, and so does how you leave.

Two weeks notice FAQ
What should a two weeks notice letter say?
That you are resigning, from which position, and the exact date of your last working day two weeks from now. Add a line about the handover and, if you like, a short thank you.
Is giving two weeks notice a legal requirement?
In most US states it is a custom, not a law, but your contract or company policy may require it. In other countries the notice period is often set by law or contract, so check your documents.
Do I count working days or calendar days?
Two weeks usually means fourteen calendar days, but some employers count ten working days. Write a specific date and ask your employer to confirm it.
Can I give two weeks notice by email?
Yes, in most workplaces. Use a clear subject line, send it to your manager, and keep a copy. If a signed letter is required, print the PDF and sign it.
What if my employer asks me to leave right away?
That can happen. Ask in writing whether you will be paid for the notice period, and check your contract for what it says about notice and pay.
Is this two weeks notice template free?
Yes. The template, PDF download, copy and .txt download are free, with no sign-up. Your details stay in this browser.
