How to write an application letter with this tool

Have the job ad open next to you. Most of the fields are answered by what the ad asks for.

  1. Note the vacancy details

Copy the exact job title from the ad and write where you saw it, for example the company careers page, a job board or a newspaper.

  2. Pick the tone

Formal is the safest choice for an application letter, and the expected one for government, schools and large companies. Use friendly only when the ad itself is informal.

  3. State your qualification

Write your highest degree or certificate as it appears on the document, then your years of relevant experience and your main skill.

  4. Add one result

Describe one thing you achieved in your latest role in a single clause. It follows the word "I", so start with a verb such as led, built or reduced.

  5. Clear the highlighted gaps

Empty fields stay highlighted in the preview, and the download buttons will not run until each one is filled.

  6. Download and attach

Save the PDF and attach it with your resume, or paste the text into the email body if the ad asks you to apply by email.

Application letter vs cover letter

The two terms are often used for the same document, and many employers accept either. There is still a useful difference in emphasis:

  • An application letter is the formal request itself. It opens by naming the vacancy and the place it was advertised, lists the qualifications the ad asks for, and closes with your availability for an interview. It can stand on its own when an employer asks for "a letter of application".
  • A cover letter introduces an attached resume and spends more space on your story: why this company, and what you would bring to the team. Use the cover letter generator for that style.

If the ad says "send an application letter", or you are applying to a public institution, school or company in a market where the formal style is the norm, use this tool. If you are unsure, the formal application letter is never the wrong choice.

Application letter format

A job application letter follows standard business letter layout. The formal template here uses this order:

  1. Your name, city, email and phone at the top.
  2. The date.
  3. The recipient: the hiring manager by name if the ad gives one, then the company name.
  4. A salutation, such as "Dear Ms. Rivera". If you do not know a name, "Dear Hiring Team" is better than "To whom it may concern".
  5. An opening paragraph that names the position and where you found it.
  6. A paragraph with your qualification, experience and one result.
  7. A paragraph on why you are applying to this employer.
  8. A closing line about your availability and a thank you, then "Sincerely" and your name.

Keep it to one page. The concise tone turns the middle paragraphs into three short lines (qualification, experience, recent result), which suits busy recruiters and applications sent from a phone.

What to include, and what to leave out

Include the exact job title, the source of the ad, your highest relevant qualification, one measurable or concrete result, and a specific reason you want to work for this employer. Repeat a few of the key words from the ad naturally; the optional job ad matcher in the tool shows which ones your letter already uses.

Leave out salary expectations unless the ad asks for them, personal details that are not relevant to the job, and long lists of duties. A duty says what you were supposed to do; a result says what happened because you did it. One result is worth more than five duties.

Check the attachments line too. The templates say your resume is attached; if the ad asks for certificates, a portfolio or references, mention them in the same sentence.

Writing an application letter as a student or new graduate

Application letters are also taught in school, where the focus is on structure: heading, date, inside address, salutation, body and closing. The formal template follows that structure exactly, so you can use it to check your own draft.

If you have no work experience yet, use your degree or diploma as the qualification, write "less than one" or the number of internship months as your experience, and use a project, a part-time job or volunteer work as your result. For a full letter built around studies instead of jobs, switch to the entry level or internship type in the cover letter generator, or read the guide to a cover letter with no experience.

Job application letter sample

This sample uses the formal tone and the example details from each field. Notice how the first paragraph answers the reader's first two questions, which job and where you saw it, before anything else.

Application letter FAQ

What is an application letter?

It is a formal letter asking to be considered for a specific job. It names the position and where it was advertised, summarizes your relevant qualifications and experience, and asks for an interview.

How long should an application letter be?

One page. Three or four short paragraphs are enough: the vacancy, your qualifications and one result, why this employer, and your availability.

Who do I address it to if no name is given?

Use "Dear Hiring Team" or "Dear Hiring Manager". If you can find the name of the recruiter or department head on the ad or the company website, use it.

Can I send an application letter by email?

Yes. Paste the letter text into the email body, use the job title in the subject line, and attach your resume as a PDF. The tool shows a ready subject line under the preview.

Is an application letter the same as a cover letter?

They overlap and many employers use the words interchangeably. An application letter is more formal and focused on the vacancy and your qualifications; a cover letter usually tells more of your story and introduces an attached resume.

Is this application letter generator free?

Yes. Writing, PDF download, copying and .txt download are free with no sign-up and no watermark. Your details stay in this browser.
