- Note the details
Interviewer's name (check the spelling in their email signature), the date of the interview and the exact job title.

A project, a plan or a question that came up. Referring to it shows you listened and makes your email different from everyone else's.

Name the team priority you heard about and the main skill you would bring to it.
- Choose the tone
Match the interview: formal for a panel or a traditional employer, friendly if the conversation was relaxed, concise if you just want to say thanks.
- Copy subject and body
Use Copy text to take the subject line and the email together, then paste into your email app and split the subject into its field.
- Send one per interviewer
If you met several people, send each a short, slightly different email rather than one group message.
Why send a thank you email after an interview?
A thank you email does three things in a few lines. It shows courtesy, which interviewers notice. It reminds them who you are, which matters when they have spoken to several candidates. And it gives you one more chance to connect your experience to what they need, based on what you learned in the interview itself.
It will not rescue an interview that went badly, and it should not try to. Keep it short, specific and positive. If you forgot to mention something important, one sentence about it is fine; a second cover letter is not.
When to send it
Send the email within about one working day of the interview. After a morning interview, the same afternoon is fine; after a late interview, the next morning works well. If your interview was on a Friday, sending it that evening or on Monday morning are both reasonable.
For a multi-stage process, send a short thank you after each round to the people you met in that round. You do not need to wait for an outcome; the thank you is about the conversation, not the decision. If you then hear nothing for a while, use the follow-up email tool instead of sending a second thank you.
Subject lines that get opened
Interviewers get a lot of email. A clear subject line tells them what yours is before they open it. The three tones use these patterns:
- Formal: "Thank you: [Job Title] interview"
- Friendly: "Thanks for the conversation, [Interviewer Name]"
- Concise: "Thank you for the interview"
If you are replying to an email thread the recruiter started, you can reply in that thread instead, which keeps your message next to the interview details.
Mistakes to avoid
- Misspelling the interviewer's name. Copy it from their email signature or the meeting invitation.
- Being generic. "Thank you for your time" alone could be sent by anyone. The topic field is what makes yours memorable.
- Writing too much. Three short paragraphs are the maximum. The concise tone is two.
- Asking about the decision. The thank you is not the place to ask whether you got the job. Save timing questions for a follow-up.
- Typos. Read the preview once out loud before you copy it.

Thank you email FAQ
Should I send a thank you email after an interview?
Yes. It is a short courtesy that reminds the interviewer who you are and confirms your interest. Keep it brief and mention something specific from the conversation.
How soon should I send a thank you email?
Within about one working day. The same day or the next morning is ideal, while the interviewer still remembers your conversation.
What should I write in the subject line?
Something clear such as "Thank you: Customer Success Manager interview". The generator writes a subject line for each tone and includes it when you copy the email.
Do I send one email to each interviewer?
Yes, if you have their addresses. Send each person a short email and vary the specific topic you mention.
Is a handwritten thank you note better?
A note can be a nice touch, but post is slow and hiring decisions can be quick. An email arrives in time; you can send a note as well if it fits the employer.
Is this thank you email generator free?
Yes. It is free with no sign-up, and the details you type are saved only in this browser.
