How to write a reference letter for an employee

Have the employee's start date, end date and job title from your records in front of you. Accuracy matters more than praise.

  1. Confirm the facts

Enter the employee's name, their job title and their start and end dates exactly as your records show them.

  2. Say how you know them

Your relationship, such as direct manager or team lead, tells the reader how much weight to give your words.

  3. Describe the responsibilities

Summarize what they were responsible for in one line: the work, the scale, the budget or the customers involved.

  4. Name strengths with an example

Two or three qualities, then one real example of a result. One true example beats any list of adjectives.

  5. Choose the tone

Formal "To whom it may concern" for a general reference, friendly when you write to a named recruiter, concise for a short confirmation of employment.

  6. Sign and share

Download the PDF, sign it and give it to the employee, or send it straight to the employer who asked for it.

Reference letter vs letter of recommendation

The two are often confused, and they do overlap. On this site they are separate tools because the purpose is different:

  • A reference letter looks back at a working relationship. It confirms facts (role, dates, responsibilities) and describes how the person worked. It is often general ("To whom it may concern") so it can be reused for several applications.
  • A letter of recommendation looks forward. It argues that someone is a good fit for one specific program, scholarship or job, and is addressed to that organization.

If a future employer asks you to "confirm employment" or "provide a reference", use this tool. If a university or committee asks you to "recommend" a candidate for a named program, use the letter of recommendation instead.

What a good reference letter includes

  • Your details: your name, job title, organization and contact information, so the reader can verify the letter.
  • Employment facts: the employee's job title and the start and end dates of their employment.
  • Your relationship: how you worked together and for how long.
  • Responsibilities: a short summary of what they did.
  • Strengths and an example: their main qualities, backed by one specific result.
  • A recommendation and an offer to talk: a closing line and your phone or email.

All three templates include these elements. The concise tone turns the responsibilities and strengths into two labeled lines, which suits a short confirmation letter.

Keep it accurate and fair

A reference letter is read as a statement of fact from you and your organization. Write only what you know first-hand and can stand behind. Check dates and titles against your records rather than memory. Keep personal details that are not related to work out of the letter.

Some organizations have a policy that only HR may give references, or that references may only confirm job title and dates. Check your employer's policy before writing in your official role. If you can only confirm the facts, the concise tone is a good fit: remove the strength line and keep the employment confirmation.

Character references and references for students

A character reference describes someone's personal qualities rather than their work, and is written by someone who knows them well outside a job, such as a community leader, teacher or long-time acquaintance. You can adapt the friendly tone: describe how you know the person and for how long in the relationship field, and use the responsibilities and strength fields for what you have seen them do.

For a student, a teacher or supervisor can use the same structure, replacing the job title and employment dates with the course, club or placement and its dates. When the student needs a letter for a specific university or scholarship, the letter of recommendation tool is the better choice.

Reference letter example

This is the formal "To whom it may concern" version with the sample details: a manager confirming a marketing coordinator's role and dates, describing their responsibilities and one result.

Jordan Lee Customer Support Lead, Brightline Logistics [email protected] | +44 7700 900123 October 25, 2026 To whom it may concern, I am pleased to provide this reference for Maria Santos, who worked at Brightline Logistics as Marketing Coordinator from March 2022 to September 2026. I was Maria Santos's direct manager during this time. In this role, Maria Santos was responsible for planning our monthly email campaigns and managing a budget of $40,000 a year. Throughout their employment, Maria Santos showed careful planning and calm problem-solving under pressure. One example stands out: In 2025 they rebuilt our onboarding emails, and new customer sign-ups grew by a fifth within six months. Based on my experience working with Maria Santos, I recommend them for any position that calls for these qualities. Reference letter FAQ

What is a reference letter?

A letter from an employer, manager or other referee that confirms someone's role and dates and describes the quality of their work or character. It is often addressed "To whom it may concern".

What is the difference between a reference letter and a letter of recommendation?

A reference letter confirms facts about past work and describes the person in general terms. A letter of recommendation supports a candidate for one specific program, scholarship or job and is addressed to that organization.

Who should write a reference letter?

Someone who supervised or worked closely with the person, such as a direct manager. For a character reference, someone who has known the person well for a long time outside work.

Can an employee draft their own reference letter?

Some managers ask the employee for a draft to save time. The manager should still check every fact, change anything they cannot confirm, and sign only what they agree with.

Should a reference letter be signed?

Yes, if it is printed or sent as a PDF. Download the PDF, print and sign it, or add your signature in your PDF reader. This tool never adds a signature image for you.
