How to write a follow up email after an interview

Before you write, check whether the interviewer gave you a date for a decision. That tells you when to send.

  1. Wait for the right moment

If they gave you a date, wait until a day or two after it. If not, about a week to ten days after the interview is a reasonable point to check in.

  2. Fill in the role and date

The job title, company and interview date help the reader place you immediately.

  3. Mention one topic

A topic from the interview that you are still excited about. It turns a reminder into a conversation.

  4. Choose the tone

Formal for traditional employers or a panel, friendly if you had a relaxed rapport, concise for a quick two-line check-in.

  5. Offer something useful

The formal and friendly versions offer references or work samples, which gives the reader a reason to reply.

  6. Copy and send

Copy the subject and body into your email app, or reply in the existing thread with the recruiter.

Follow up email vs thank you email

These are two different messages sent at different times:

  • The thank you email goes out within about a day of the interview. It thanks the interviewer and mentions something you discussed. It does not ask for anything.
  • The follow up email goes out later, once the expected decision date has passed or a week or more has gone by. It asks politely for an update on the timeline.

If you have not sent a thank you yet, do that first. Sending a follow up the day after the interview can come across as impatient.

How long to wait before following up

Use what the employer told you. If the interviewer said "we will decide by Friday", wait until the next working day after Friday. If you have no date, about a week to ten days after the interview is a reasonable time to send a short check-in. Hiring takes longer than candidates expect: other interviews, approvals and holidays all add time.

If you still hear nothing a week or two after your follow up, it is fine to send one final, short message. After that, put your energy into other applications. Silence is frustrating, but more emails rarely change the outcome.

What to write (and what not to)

A good follow up email is short and easy to answer:

  • Reference the role and the interview date in the first lines.
  • Say you remain interested, ideally with one specific reason from the conversation.
  • Ask one clear question: could they share an update on the timeline?
  • Offer something useful, such as references or work samples.

Avoid guilt ("I have been waiting for two weeks"), pressure ("I need to know by tomorrow"), and long re-statements of your qualifications. If you have another offer with a deadline, it is fair to say so politely and give the date, because that is useful information for the employer.

Following up on a job application (before any interview)

The same tone works if you applied and have not been invited to interview yet. Change the first sentence to refer to your application and the date you sent it, and remove the interview topic. Keep it to two or three sentences, and only send it once the closing date of the vacancy has passed. For your next application, the cover letter generator keeps your details saved.

Follow up email FAQ

How long should I wait to follow up after an interview?

If you were given a decision date, wait until a day or two after it. If not, about a week to ten days after the interview is a reasonable time to send a short check-in.

What is a good subject line for a follow up email?

Something specific such as "Following up: Customer Success Manager interview on October 21, 2026". The generator writes one for each tone.

Is it rude to follow up after an interview?

No. A short, polite check-in after the expected timeline is normal and shows interest. Sending several messages in a short time is what can feel pushy.

How many times should I follow up?

Usually once, and at most one more short message a week or two later if you still hear nothing.

Should I follow up by phone or email?

Email is easier for most interviewers to answer when they have time. Call only if the recruiter told you to.

Can I use this to follow up on an application?

Yes. Replace the interview details with your application date and remove the topic sentence, as explained above.
