How to write your resignation letter

Check your contract or staff handbook for your notice period before you start. That decides your last working day.

  1. Find your notice period

Look in your employment contract, written statement or staff policy. Write it in the notice field, for example one-month or two-week.

  2. Work out your last day

Count the notice period from the day you will hand the letter in. If your contract is unclear, ask HR to confirm the date in writing.

  3. Replace the sample details

Type your name, job title, employer and manager over the sample text. The preview updates as you type.

  4. Pick a tone

Formal is right for most workplaces. Friendly suits a manager you know well. The concise version only states the facts.

  5. Plan the handover

Write one line on how you will hand over your work. It shows good will and answers your manager's first question.

  6. Send or print

Download the PDF and email it to your manager, or print and sign it. Keep a copy for yourself.

What to include in a resignation letter

A resignation letter does not need to explain why you are leaving. Keep it short and factual. It should include:

  • A clear statement that you are resigning, and from which position.
  • Your notice period and your last working day.
  • A brief thank you, if you can write one sincerely.
  • An offer to help with the handover.
  • The date, and your name (and signature if you print it).

The UK conciliation service Acas suggests the same core points in its resignation letter template, including the line "Since my notice period is [X weeks/months], I believe my last day will be [date]. Please let me know if that is incorrect." Asking your employer to confirm the date avoids confusion later. Acas also advises: "To avoid confusion, it's helpful to put any other agreement reached in writing, for example in a letter or email."

How much notice should you give?

The answer depends on where you work and what your contract says. Two common cases:

  • United States: SHRM notes that most states follow employment at will, where "either the business or the worker can terminate the employment relationship at any time", and that "Two weeks is the standard notice period." In most states two weeks is a custom, not a legal rule, so check your contract. For a two-week letter, use the two weeks notice letter tool.
  • United Kingdom: according to Acas, if you have worked for at least one month you "must give a minimum of 1 weeks' notice", and your contract, written statement or staff policy "might say an employee needs to give more notice than the statutory minimum". Many UK contracts set one month or more.

Elsewhere, rules differ by country, contract and collective agreement. GOV.UK puts the general advice simply: check your employment contract to find out your employer's policy on handing in notice. This page is general guidance, not legal advice.

Short and simple resignation letters

If you want a short resignation letter, choose the concise tone. It keeps only what your employer needs: your position, your last day, your notice period, the handover and a thank you, in three sentences. A simple letter is perfectly professional; your employer needs the facts, not a story.

Leaving for personal reasons? You do not have to give details. "For personal reasons" is enough, or you can leave the reason out completely, as all three templates do. If you want to explain, do it in a conversation with your manager rather than in the letter that goes into your file.

How to hand in your resignation

Tell your manager in person or on a call first if you can, then send the letter the same day so there is a written record. If you email it, use a clear subject line such as "Resignation - Jordan Lee"; the tool shows a ready subject line under the preview. Keep the PDF and the sent email for your own records.

Acas adds a warning worth repeating: "Do not use this template if you believe you have no choice but to resign." If you are being pushed out, get advice before you resign.

Resignation letter example

Here is the formal resignation letter with the sample details. It gives a one-month notice period, names the last day, thanks the employer for something specific and offers a handover, all in under 150 words.

Resignation letter FAQ

How do I write a simple resignation letter?

State that you are resigning from your position, give your last working day and notice period, offer to help with the handover and thank your employer. The concise tone in this template does exactly that in three sentences.

Do I have to give a reason for resigning?

No. A resignation letter only needs to state that you are leaving and when. You can mention personal reasons or a new opportunity, but it is not required.

Can I resign by email?

Usually yes, unless your contract asks for a signed letter. Paste the letter into the email body or attach the PDF, and keep a copy of what you sent.

How much notice do I need to give?

Check your contract first. In the US two weeks is the usual custom in most states; in the UK the legal minimum after one month of service is one week, but many contracts require more.

What if I need to leave immediately?

Read your contract and talk to your employer. Leaving without the agreed notice can have consequences, so ask in writing whether the notice period can be shortened, and get the answer in writing too.

Is the sample text on the page saved?

The sample fills the fields the first time you open the page so you can see a finished letter. Replace it with your details; once you type, your version is what is saved, in this browser only.
